We collect information you provide directly to us when you create an account, configure your AI receptionist, or contact us. This includes your name, email address, business name, phone numbers, and payment information. We also collect call recordings and transcripts generated by your AI receptionist, as well as usage data and logs.
2. How We Use Your Information
We use the information we collect to provide, maintain, and improve our services — including operating your AI receptionist, processing bookings, sending SMS confirmations, generating reports, and billing you for our services. We may use aggregated, anonymized data to improve the AI models that power our service.
3. Call Recordings and Transcripts
Your AI receptionist records and transcribes calls to enable features like owner reports, call history, and AI training. These recordings are stored securely and are accessible only to you and authorized Pantheon Lab personnel. You are responsible for ensuring that your use of call recording complies with applicable laws in your jurisdiction.
4. Data Sharing
We do not sell your personal data. We share your data with third-party service providers that help us operate our business (such as Twilio for telephony, Retell AI for voice processing, Cal.com for calendar integration, and Stripe for payments). These providers are contractually bound to protect your data and use it only as directed by us.
5. Data Retention
We retain your account data for as long as your account is active. Call recordings and transcripts are retained for 90 days by default. You may request deletion of your data at any time by contacting us at privacy@santaclaw.ai.
6. Security
We use industry-standard encryption and security practices to protect your data. Sensitive tokens (such as calendar integration credentials) are encrypted at rest using AES-256-GCM. We use Supabase for secure database storage and Clerk for authentication.
7. Your Rights
You may access, correct, or delete your personal data at any time through your dashboard or by contacting us. You may also request a copy of your data or ask us to restrict its processing. If you are located in the EU or UK, you have additional rights under GDPR/UK GDPR.
